- Name the PDF task you actually repeat.
- Select a tool for that task and your operating system.
- Test the saved file, not just the on-screen preview.
Use the task to make a shortlist
An Acrobat alternative for combining pages may be unsuitable for a signature workflow or a print-production check. This shortlist covers common document jobs, not full Acrobat feature parity.
| Task | Candidate | What to verify |
|---|---|---|
| General desktop PDF edits | PDFgear | Feature and offline behavior on your OS |
| Searchable scanned PDFs with a GUI | NAPS2 | OCR language and saved text layer |
| Repeatable OCR from a command line | OCRmyPDF | Dependencies and output settings |
| Visual revision comparison | diff-pdf | As-is project and support limits |
| Extract a text-based table | Tabula | No scanned-document support |
Editing and page management
PDFgear publishes desktop editing and conversion features. Check the specific tool on the platform you use: mobile, online, and desktop editions can differ. Open a copy of a realistic file, make the required edit, save it, and inspect the result in another viewer. AI or online functions may have different connectivity requirements from ordinary local editing.
OCR and table extraction
NAPS2 offers a graphical OCR workflow. OCRmyPDF fits repeatable command-line processing. These create or improve searchable text; extracting a reliable spreadsheet remains a separate task. For Tabula, select a PDF that already contains text. Compare codes and numeric cells against the original before using the export.
Signatures, redaction, and production checks
A drawn signature image does not establish support for a digital certificate signature. Covering text with a black rectangle does not establish that the underlying content was removed. If these are required tasks, use a tool whose documentation explicitly supports them and verify the resulting file. None of the candidates above is presented as a universal replacement for specialized Acrobat workflows.
Try the smallest complete workflow
Keep one test file and a written success condition: for example, combine three PDFs and preserve page orientation, or OCR a scan and copy a specific sentence. Include export and reopening in the test. Compare software cost only after the output passes that check.
